1.3 Legal Basis for Processing

We process personal data under the following legal bases as defined in Article 6 of the General Data Protection Regulation (GDPR):

  • Consent (Article 6(1)(a)): Where you have given explicit consent for specific processing purposes
  • Contract Performance (Article 6(1)(b)): Where processing is necessary for the performance of a contract with you
  • Legitimate Interest (Article 6(1)(f)): Where processing is necessary for our legitimate interests, balanced against your rights
  • Legal Obligation (Article 6(1)(c)): Where processing is necessary to comply with legal requirements

1.4 Data Retention

Personal data is retained only for as long as necessary to fulfil the purposes for which it was collected. Specific retention periods:

  • • Contact form submissions: 24 months from last interaction
  • • Contract-related data: Duration of contract plus 5 years (Danish bookkeeping requirements)
  • • Analytics data: 26 months (anonymized after 14 months)
  • • Marketing consent records: Until withdrawal of consent

1.5 Your Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of Access (Article 15): Obtain confirmation and copies of your personal data
  • Right to Rectification (Article 16): Request correction of inaccurate data
  • Right to Erasure (Article 17): Request deletion of your personal data

  • Right to Object (Article 21): Object to processing based on legitimate interests
  • Right to Withdraw Consent: Withdraw consent at any time without affecting prior lawful processing

1.6 Data Transfers

PolarisBridgeLabs operates within the European Economic Area (EEA). Where personal data is transferred outside the EEA, we ensure adequate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the European Commission or adequacy decisions under Article 45 of the GDPR.

Terms of Service

2.1 Acceptance of Terms

By accessing or using the services provided by PolarisBridgeLabs ("Company", "we", "us"), you ("Client", "you") agree to be bound by these Terms of Service. If you do not agree, do not use our services.

2.2 Scope of Services

PolarisBridgeLabs provides Business Intelligence consulting, data engineering, dashboard development, and related analytics services. The specific scope of each engagement is defined in the corresponding Statement of Work (SOW) or Service Agreement.

2.3 Intellectual Property

Unless otherwise agreed in writing:

  • • All pre-existing intellectual property of each party remains the property of that party
  • • Custom deliverables created specifically for the Client become the Client's property upon full payment
  • • PolarisBridgeLabs retains the right to use anonymized methodologies, frameworks, and general know-how developed during engagements

2.4 Payment Terms

Invoices are payable within 14 days of issuance unless otherwise specified in the SOW. Late payments accrue interest at the Danish statutory rate (National Bank base rate + 7%). Services may be suspended for accounts more than 30 days overdue.

2.5 Confidentiality

Both parties agree to maintain strict confidentiality of proprietary information exchanged during the engagement. This obligation survives termination for a period of 3 years.

2.6 Limitation of Liability

PolarisBridgeLabs' total liability under any engagement shall not exceed the total fees paid by the Client for the specific service giving rise to the claim. We shall not be liable for indirect, consequential, or punitive damages.

2.7 Termination

Either party may terminate with 30 days written notice. Termination does not relieve the Client of payment obligations for work completed up to the termination date.

2.8 Governing Law

These Terms are governed by the laws of Denmark. Any disputes shall be resolved before the courts of Aalborg, Denmark.

3.1 What Are Cookies

Refund Policy

4.1 Service Delivery & Acceptance

PolarisBridgeLabs delivers services as outlined in the Statement of Work (SOW) agreed upon before project commencement. Deliverables are subject to a formal acceptance process with a 5-business-day review period.

4.2 Refund Eligibility

Refunds are considered under the following circumstances:

  • Non-Delivery: If the agreed deliverables are not provided within the specified timeline due to PolarisBridgeLabs' sole fault, a full refund will be issued
  • Material Defect: If deliverables substantially fail to meet the specifications defined in the SOW and cannot be remedied within 15 business days
  • Early Termination: If PolarisBridgeLabs terminates the engagement without cause, a prorated refund for undelivered work will be issued

4.3 Non-Refundable Items

  • • Completed and accepted deliverables
  • • Consulting hours already delivered and logged
  • • Third-party software licenses procured on behalf of the Client
  • • Changes in project scope requested by the Client after SOW approval

4.4 Refund Process

To request a refund, email [email protected] with your contract reference, description of the issue, and supporting documentation. Refund requests are processed within 10 business days of approval. Refunds are issued to the original payment method.

4.5 Dispute Resolution

Refund disputes are first addressed through direct communication between the parties. If unresolved within 30 days, disputes are referred to mediation under Danish arbitration rules before any legal proceedings in the courts of Aalborg, Denmark.
